This article explains how to configure catalog visibility and access, how access rules work, and how version-specific access rules affect published catalog versions.
Access rules provide additional control over who can access specific catalog versions. Access rules are managed by Publishers and are always a subset of the catalog container data.
The catalog container specifies what countries, products, or domains have access to the catalog.
Note: If no version-specific rules are configured, the catalog's default access settings are used.
Catalog access settings determine which applications, countries, products, companies, and users can access a catalog. These settings are configured at the catalog level and act as the default access configuration for all catalog versions.
Follow these steps to configure catalog access:
- Go to the Catalogs tab
in the main menu.
- Select the required catalog.
- Open the Authorization section of the catalog settings.
- Go to the Access section.
- Locate the Domains access setting.
- Enter the required domain in the Domain field.
- Select + to add the domain to the list.
Allow access from all domains
Enter * in the Domain field to allow access from all domains.
Important: Adding * (all domains) makes the catalog visible in all applications (Design, Fusion, SpacesFlex, etc.). Ensure you only release the catalog to the intended applications and users.
When a catalog version is activated, access is determined by:
- Catalog access settings (default access) which is explained in the above section.
Version-specific access rules (if configured).
Navigate to Publish to access version-specific access rules. See the images below for better understanding:
Note: Version-specific access rules take priority over catalog access settings.
- The Users access rule controls the sharing of catalogs with specific users. The list displays users from approved companies; use the search box to narrow it down if needed.
The Companies access rule controls the sharing of catalogs with specific companies. The list shows every company that meets the container’s authorisation settings; use the search box if the list is long.
Note: once a company is approved, all users from that company automatically gain access and appear in the Users list.
- The Domains access rule controls which internet domains, that host Cyncly applications, can use the catalog. This allows you to give access to different versions of the catalog to different domains.
- The Products access rule controls which Cyncly products can use the catalog. Some catalog versions could only be available in specific software and not others due to the data requirements.
Note: rules that target individual companies or users work only if the catalog container requires manufacturer authorization.
The Publisher decide which catalogs or catalog versions are available to specific countries, products, domains, companies, or users. This is useful when the catalog should be available only to certain geographies, shared with one partner for testing, or have a release limit to selected brands.
For example, a catalog might be available in the US and Canada, but one specific version of it might be available only to a certain company in the US.

Anonymous Users (SpacesFlex)
Anonymous users are not logged in.
- Users are not logged in.
- Country and product filtering does not apply.
- Access is controlled by domain only.
Authenticated Users (Design, Fusion)
Authenticated users are logged in.
- Users are logged in.
- Country is retrieved from the user's account registration.
- Country and product filtering applies.
Access rule logic
Multiple rules within a set use AND logic (all conditions must be met)
Multiple rule sets use OR logic (any set can grant access)
In this case access is granted if either Rule Set 1 OR Rule Set 2 is satisfied.
Note: once one of these rules is activated – the catalog might become available for some markets that it was not intended to be available.
SpacesFlex
For catalogs intended only for SpacesFlex:
- Set the specific SpacesFlex domain access.
- Do NOT use
*(all domains) – this will expose the catalog to other applications. - Disable Country and Product access settings.
SpacesFlex operates in anonymous mode, meaning users are not logged in. As a result, country and product filtering do not apply.
Design and Other Applications
For catalogs intended for Design, Fusion, or similar applications:
- Enable Country and Product access settings.
- Country access is determined by the user's registered account country.
- Filtering applies only when users are logged in (authenticated mode).
Managing access rules
Use the following steps for all rule types (Users, Companies, Domains, Products, Countries):
- Select the required catalog version.
Click Access rules icon.
Click Create rule.
Next to the relevant rule type (e.g., Companies, Products, Domains, Users), click the edit (pen) icon.
- Choose the required entries from the list; use the search box if needed.
- Click OK, then Save.
Copying access rules
Access rules can be reused across different versions of the catalog.
- Open the required price list and click Access rules.
- At the bottom of the panel, click the Copy icon
.
- In the Copy access rules dialog, choose the source price list whose rules you would like to copy.
- Click Proceed.
A confirmation pop-up will appear once the copy is complete.
